Data Retention Policy

Last updated: October 11, 2026
This Data Retention Policy explains how ProfitJam, LLC (“ProfitJam,” “we,” “us” or “our”) retains, deletes and returns information handled through the ProfitJam platform.
Read this policy with our Privacy Policy and Terms & Conditions. A written customer agreement may specify different retention or export arrangements for identified records. Those arrangements do not override applicable privacy rights or other legal requirements.

1. Who decides how long information is kept

For our own account administration, billing, support and service-security records, ProfitJam determines the purposes and retention periods. For personal information a customer collects or manages through its workspace, the customer generally determines the purposes and gives us instructions for handling it.
If your information was collected by a business using ProfitJam, you can contact that business directly about its records. You may also contact us; where we act on the business’s behalf, we will help direct the request and assist as required by law.

2. Our retention approach

We retain personal information only for the period reasonably needed for the purpose for which it was collected, to provide requested services, or to meet an applicable legal obligation. We consider the type and sensitivity of the information, the customer’s instructions, the service involved and any relevant legal or contractual requirements.
An active subscription does not justify keeping every personal record indefinitely. Customers should review their records regularly and remove information they no longer need. We apply the following schedules and criteria, subject to the exceptions described below.

3. Standard service records

  • Account and workspace information. We retain information needed to operate an active account and workspace. Closure and deletion follow the process in Section 5. Cancelling a paid subscription does not necessarily close the workspace or delete its records.
  • Customer content and business records. Pages, content, media, contacts, form responses, bookings and communications are retained while needed to provide the customer’s selected services, subject to deletion requests, product limits and agreed retention arrangements.
  • Version history. Historical versions of pages, content and media are retained according to the workspace’s plan or agreed allowance. Older versions may be removed when that allowance expires. Preserving the current or currently published version does not mean that every previously published version is retained.
  • Connected services. Information imported from a connected service follows the schedule for the relevant type of record. Disconnecting the service does not automatically delete information already imported, content already published there or records the other provider holds.
  • Billing and transaction records. We retain the records needed for accounting, tax, payment disputes, fraud prevention and legal claims for the periods those obligations require. The period depends on the applicable obligation and may continue after an account closes. We do not retain full payment card numbers.
  • Support records. We retain support correspondence while resolving the request and for the period needed to address related follow-up, disputes or legal claims. Unrelated personal information is not retained solely because a support record exists.
  • Operational and security records. Retention depends on the record’s purpose: diagnosing faults, investigating abuse, protecting the service or documenting an incident. Routine error records are normally retained for 60 days. Records selected for an incident investigation may be retained longer; incident records are retained for seven years after closure, or longer where a specific legal obligation or legal hold requires it.

4. Backups

Our standard database recovery schedule retains automated backups for seven days and backups taken before production database migrations for 30 days from creation.
Deleting information from active systems does not immediately remove it from an existing backup. Backup copies expire on the applicable schedule. They are restricted to recovery, security and necessary legal purposes rather than ordinary customer use. If a backup is restored, applicable deletion instructions must be reapplied before the restored information returns to ordinary use.
A specific backup or record may be preserved longer where legally required or subject to a legal hold. Backups are separate from a contracted records-retention service and should not be relied on as an archive or a guarantee that a deleted item can be recovered.

5. Account closure, deletion and export

A workspace owner or other authorized person may request workspace closure, deletion or an export by contacting support@profitjam.io. Please identify the workspace and the information concerned. We may ask for information reasonably needed to verify identity and authority.
Request any required export before deletion. We will explain the available scope, format and process; export options vary by the type of record and the applicable agreement. An export request does not extend an ordinary version-history allowance or recover versions already removed.
Unless an applicable exception requires retention, we delete active workspace data within 30 days after verified closure or a verified deletion request. Where applicable law requires earlier action, that requirement takes priority. Backup copies expire separately as described above.
Archiving an item, unpublishing a page or cancelling a subscription is not necessarily permanent deletion. Tell us if you need information permanently removed rather than hidden or deactivated. Once permanently deleted, information may not be recoverable.

6. Financial-services and other contractual retention

A customer that needs records retained for a fixed period must agree the arrangement with ProfitJam in writing before relying on it. For example, a financial-services engagement may specify seven-year retention for defined marketing records. That period is a contractual arrangement for those records, not a default for every ProfitJam account or every category of personal information.
The agreement must identify the records and associated media covered, when the retention period starts, the required history and publication details, the export arrangements and what happens when the service ends.
Standard version history and recovery backups should not be treated as an immutable records archive. Any requirement to prevent deletion, preserve every published version, record approvals or produce records for an examination must be specifically agreed and confirmed as available.
At termination, the agreement must provide for an export of the retained records or continued retention for the remaining agreed period. A customer’s retention obligations do not end simply because its subscription ends. Customers remain responsible for deciding what they must retain and for any records held outside ProfitJam.

7. Legal obligations and preservation

We may retain particular information where necessary to comply with law, a valid legal process, a regulatory recordkeeping obligation or a legal hold; to establish, exercise or defend legal claims; or to maintain a lawful record of a privacy request or marketing objection.
Retention must relate to the specific obligation or purpose. It does not authorize unrestricted use of the information or automatic retention of the entire workspace. When the reason for retaining information ends, it becomes eligible for deletion under the applicable schedule.
We may retain information that has been irreversibly anonymized so that it no longer identifies a person. Replacing a name with an identifier, by itself, is not anonymization.

8. Privacy requests, including Europe and California

Depending on the law that applies, individuals may have rights to access, correct, delete or receive a copy of their personal information, or to restrict or object to particular uses. Our Privacy Policy explains these rights and how to contact us.
We assess requests under the applicable law. A contractual retention period does not automatically defeat a valid deletion request, and a deletion request does not automatically require removal of records the law requires us to keep. If an exception applies, we explain it where legally permitted and limit retention to the information needed for that exception.
We respond within the deadlines required by applicable law and explain any permitted extension. We do not require unnecessary personal information to verify a request. Where ProfitJam holds information on a customer’s behalf, we assist that customer in responding as required.

9. Other services and public copies

This policy covers records held by ProfitJam. Payment providers, connected email or social services and other independent providers may retain their own copies under their policies and legal obligations.
Deleting or unpublishing information in ProfitJam does not necessarily remove it from a connected service. It also cannot recall copies already downloaded by others or independently retained by search engines, recipients or other third parties.

10. Changes and contact

We may update this policy as the service, our practices or applicable requirements change. The date above identifies the latest revision. Any specific written retention commitment remains subject to its agreed terms and applicable law.
For retention, export or deletion questions, contact support@profitjam.io. For a suspected security incident, contact security@profitjam.io. Do not include passwords, payment card details or sensitive personal records in ordinary email.
